Bulk Clothing Suppliers: What Should You Ask?

Purchasing clothing in bulk is very different from sourcing samples or placing small trial orders. With a large upfront investment, a mistake can quickly become an expensive one.

Before choosing bulk clothing suppliers and confirming an order, make sure you have clear answers to the questions below.

1. Actual Production Capacity

A supplier’s total monthly capacity does not equal the capacity available for your order.
Questions to ask:

  • What is your total monthly production output?
  • How much production capacity has already been booked?
  • How many different styles can you manufacture at the same time?
  • What maximum capacity will you allocate to my order?
  • Do you operate multiple production lines?

Core point: The factory must be able to fulfill your order within your required tight deadline.

2. Minimum Order Quantity (MOQ)

MOQ requirements often differ by style, color and size. Record all terms clearly.
Questions to ask:

  • What is the MOQ per style?
  • What is the minimum quantity required for each color within one style?
  • Can I mix multiple colors under one style MOQ?
  • Can I mix different sizes?
  • Is a lower MOQ available for first-time orders?
  • Will the MOQ be increased for subsequent repeat orders?

Core point: Confirm the MOQ matches your expected sales volume. Avoid committing to inventory far exceeding your forecasted demand.

3. Bulk Pricing Structure

Never select garment suppliers based solely on unit price. Fully understand what each quotation covers.
Clarify these cost components:

  • Tiered pricing / volume price breaks
  • Fabric & accessory costs
  • Cutting & sewing charges
  • Printing / Embroidery fees
  • Washing & garment finishing
    (Finishing treatments include stain removal, anti-grease coating, enhancing softness/luster, anti-shrinkage and anti-dye transfer processing)
  • Packaging costs
  • Sampling & testing fees
  • Shipping terms (FOB, EXW, CIF etc.)

Core point: Always compare quotations on an identical basis. A lower offer may exclude fees listed in other suppliers’ quotes.

4. Repeat Order Capability

One-off bulk production differs greatly from long-term cooperation supporting brand growth.
Questions to ask:

  • How do you handle repeat orders?
  • Can you reserve stable production capacity for regular customers?
  • How do you guarantee consistent fabric and accessory supply for reorders?
  • Can you maintain stable and reasonable pricing long-term?
  • How do you manage peak seasonal production demand?

Core point: A factory capable of producing 5,000 units once may not sustain 5,000 units monthly. For growing brands, stable long-term supply matters more than one-time maximum output.

5. Large-Scale Quality Control

Quality risks amplify once order volumes increase. Ask about inspection procedures covering:

  • Incoming fabric & accessories inspection
  • Cutting and sewing process checks
  • In-process finished garment inspection
  • Pre-shipment inspection

Additional questions:

  • Which AQL standard do you implement?
  • Can you provide official inspection reports?
  • Is third-party independent certified inspection acceptable?
  • How do you resolve non-conforming defective goods?

Common mass production quality issues: fabric shade variation, inconsistent fabric width, sizing deviation, sewing defects, mislabeling and packaging errors.
Core point: A sound QC system detects defects during production, not only after full order completion.

6. Production Lead Time

Do not accept a single vague timeline such as “30 days”. Confirm what the timeline includes.
A full bulk order workflow covers: fabric & accessory sourcing → production → inspection → packing → shipping.
Request separate timelines for each stage:

  • Fabric and trim procurement
  • Bulk manufacturing
  • Quality inspection
  • Packing
  • Trucking to port
  • International ocean/air freight

Core point: Initial orders usually require longer lead times. Build sufficient buffer time into your launch schedule instead of relying on the factory’s ideal timeline.

7. Pre-Production Sample Policy

Always approve pre-production samples before bulk manufacturing.
Questions to ask:

  • Can you supply pre-production samples?
  • What is the sample cost?
  • Is the sample fee deductible from the bulk order payment?
  • How many revisions are included?
  • Are samples made with the identical fabric and accessories as mass production?

After receiving samples, verify fabric, fit, colour, trims, labels and packaging against your specifications.
Once approved, keep a signed confirmed sample as the official reference for bulk inspection.

8. Solutions for Quality Non-Conformities

Problems may occur in any production run; what matters is the supplier’s handling mechanism.
Questions to ask before ordering:

  • What is your policy for defective products?
  • Do you offer rework or free replacements?
  • Who bears all associated costs?
  • How do you compensate for delayed delivery?
  • What remedies apply if goods fail to meet agreed specifications?

Warning: Be cautious if a supplier claims “no problems will happen”. No manufacturer can guarantee zero defects for every batch. Reliable suppliers have formal written dispute resolution procedures.

9. Packaging & Shipping Arrangements

Confirm packaging and shipping requirements at the pre-production stage.
Questions to cover:

  • Standard packaging method
  • Custom packaging options
  • Quantity per export carton
  • Carton dimensions and gross weight limits
  • Incoterms (shipping terms)
  • Export document provision
  • Delivery arrangements to your destination country

For international orders, also confirm the freight forwarder, customs broker and all documents the supplier will provide.
Clear shipping & packaging specifications prevent expensive logistics issues.

10. Support for Future Orders

Your first bulk order is only the start if you plan long-term cooperation.
Questions to ask:

  • Can you consistently maintain identical quality across multiple batches?
  • Can you reserve fabric and accessories for repeat styles?
  • Is production capacity reservation available?
  • Will lead times be shortened for recurring customers?
  • Can you accommodate larger order volumes as my business expands?

Core point: The ideal supplier will deliver smoother, more favourable terms as your partnership develops.
